Privacy Policy

What we collect when you use this site, why we collect it, who else touches it, and how to turn the optional parts off.

1. Who we are

Kira Jewels Inc. is a lab-grown diamond grower and fine jewelry manufacturer based in New York. This site is our wholesale storefront and trade portal: it is used by retail partners to browse our catalog, request quotes and memos, and place and track orders. We are the controller of the personal information described below.

2. What we collect

We collect only what the trade relationship needs. In practice that falls into four groups:

  • Account and business details: your name, work email, company name, phone number, and billing and shipping addresses. Most of this reaches us when your trade account is approved, or when you submit the trade sign-up form. If you sign in with Google, we receive the email address on that Google account and nothing else from it.
  • Commercial records: the orders, quotes, memos, invoices, shipments and custom design requests associated with your account, including the pieces, quantities, prices and delivery choices they contain.
  • Payment records: we never receive or store your full card number. Our payment processor handles the card itself and returns only the first six digits (the issuing-bank range), the authorization outcome, and the address and security-code verification results, which we keep as the record of the transaction.
  • Usage information: the pages and products you view, the searches you run, the site that referred you, and any campaign tags in the link you followed. This is tied to a random identifier, not to your name, unless you are signed in.

We do not collect special-category data, we do not buy personal information from data brokers, and we do not build profiles of you for anyone other than us.

3. Cookies and browser storage

Most of what this site stores in your browser is strictly necessary: without it you cannot stay signed in or keep a cart. One item, the visitor identifier, exists purely so we can measure how the site is used, and you can switch it off. Declining it does not limit anything else on the site.

We also cache small technical values in your browser that never leave your device, such as the cropped bounds of a product photo so the grid does not have to recompute them. There are no advertising cookies on this site, and no third-party tracking pixels.

4. How we use it

  • To operate your trade account: authenticating you, showing your contract pricing, and keeping your cart and wishlists.
  • To fulfil what you ask for: pricing, producing, invoicing and shipping your orders, memos and custom requests, and sending the notices that go with them.
  • To support you: so the agent assigned to your account can answer questions about your orders and quotes.
  • To improve the site: understanding which pages, searches and products lead to an order, in aggregate.
  • To meet our legal and accounting obligations, and to prevent fraud and abuse.

We do not sell or share personal information, and we do not use it for cross-context behavioural advertising. We do not send marketing email to addresses collected here without your agreement; the email this site sends is transactional, tied to an order, quote, memo or account action.

5. Who processes it on our behalf

We use a small number of service providers to run the business. Each handles data only on our instructions and only for the purpose listed:

We may also disclose information where the law requires it, or to establish or defend a legal claim. If the business is ever sold or reorganised, account records would transfer with it, and we would tell you before that happened.

6. How long we keep it

  • Order, invoice and shipping records: kept for as long as tax and commercial law requires, currently seven years from the transaction.
  • Account details: kept while your trade account is open, and removed on request once there are no open orders or balances.
  • Usage information: the visitor identifier expires two years after your last visit, and is deleted immediately if you decline analytics.
  • Quote, memo and custom design requests: kept while they are live and for our records afterwards, since they document what was offered and at what price.

7. Your choices and rights

  • Analytics: choose Decline in the cookie notice at any time. That deletes the visitor identifier and stops the site sending usage events.
  • Access and correction: most of your account details are editable in your account, and we will correct anything else on request.
  • Deletion: ask us and we will delete what we are not required to keep. Records tied to a completed sale generally have to stay for the retention period above.
  • A copy of your data: ask and we will send you the records we hold in a portable format.
  • Objection: you can ask us to stop a particular use of your information, and we will unless we have an overriding obligation to continue.

Write to info@kirajewels.one to exercise any of these. We answer within one business day and complete the request within thirty days. We will never charge you for making one, and we will not treat you differently for it.

8. Security

The site is served only over HTTPS. Sign-in sessions use a signed, HTTP-only cookie that scripts on the page cannot read. Access to customer records is scoped: an agent sees the accounts assigned to them, a manager sees their team, and administrators see all of it. Payment card details go directly to our payment processor rather than through our systems.

No system is perfect. If we ever discover a breach affecting your information, we will tell you and the relevant authorities as quickly as the law requires.

9. Where your information is held

We are based in the United States and our systems are hosted there. If you contact us from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection rules than your own country.

10. Children

This is a wholesale site for trade accounts. It is not directed at children and we do not knowingly collect information from anyone under 16. If you believe a child has given us information, tell us and we will delete it.

11. Changes to this policy

This policy takes effect on August 12, 2026. If we change it substantively we will update the effective date above and, where the change matters to you, tell you directly rather than relying on you to notice.
